Privacy Notice
Effective date: November 4, 2026
This Privacy Notice explains how Ninja WatchTower ("WatchTower," "we," "us," or "our") handles information in connection with our website, product communications, and monitoring / operations software for NinjaTrader 8 environments.
1. Who we are
Ninja WatchTower is a monitoring and operations platform for NinjaTrader 8. It is designed to help traders oversee NinjaTrader application health, broker and market data connections, account availability, strategy status, market data health, Windows system resources, and related operational events on Windows desktops, dedicated servers, and Windows VPS hosts.
This notice uses the product name Ninja WatchTower. Formal legal-entity and mailing-address details, when published, will appear in this notice or in related product documentation. Until then, privacy questions should be sent through our contact form.
2. Scope
This notice covers information processed when you:
- Visit or use the Ninja WatchTower marketing website
- Submit our contact or early-access forms
- Create or manage a WatchTower account or license (when available)
- Install or use WatchTower software in a NinjaTrader trading environment
- Receive product notifications, alerts, or support communications
Brokers, exchanges, market-data providers, VPS hosts, and NinjaTrader itself are independent services. Their privacy practices are governed by their own policies. WatchTower is not a broker, exchange, or hosting provider.
3. Information we collect
The categories below describe information we may collect depending on how you interact with WatchTower. Exact fields can vary by product version, plan, and the features you enable.
3.1 Account and profile information
When you register, request access, or manage a license, we may collect name, email address, organization or trader handle, authentication credentials for WatchTower itself, plan or entitlement details, and related account settings.
3.2 Contact and support communications
If you use our contact form or otherwise message us, we collect the details you submit (such as name, email, topic, and message content), plus basic technical metadata needed to receive and respond to the request.
3.3 Billing and commercial information
If paid plans are offered, we may collect billing contact details, purchase history, invoices, and payment status. Payment card or bank details, when used, are typically processed by a payment processor rather than stored in full by WatchTower. Vendor names and processor details will be disclosed when billing is enabled in the released offering.
3.4 Device, VPS, and operational telemetry
WatchTower is designed to observe the operational health of your trading environment. Depending on configuration and released capabilities, that may include information such as:
- NinjaTrader process and application health indicators
- Broker and market-data connection status
- Account availability and strategy state observations
- Windows system resource metrics relevant to monitoring
- Operational events, diagnostics needed for supported recovery workflows, and verification outcomes after recovery activity
- Device or host identifiers needed to associate an installation with your license or workspace
WatchTower is not designed to store your full trading strategies as intellectual property for resale, and it is not a substitute for broker order history. Credential handling for broker integrations depends on the authorization model of the released product. Do not assume broker passwords are never required, stored, or transmitted unless that is confirmed in the security documentation shipped with your version.
3.5 Notifications and alert preferences
If you enable alerts, we may process destination addresses or channels you configure (for example email or other supported notification methods), preference settings, and delivery status for operational notices.
3.6 Website, cookies, and similar technologies
Our website may automatically collect standard technical data such as IP address, browser type, device type, referring pages, and timestamps. We may use cookies or similar technologies that are necessary for site operation (for example session or preference cookies). If we introduce optional analytics or advertising tools, we will update this notice and, where required, present additional choices.
3.7 Information we do not intentionally collect
We do not ask visitors to submit government ID numbers through the marketing site contact form. We do not sell personal information.
4. How we use information
We use information to:
- Provide, operate, maintain, and improve WatchTower
- Monitor configured environments, surface operational issues, and support recovery and verification workflows you enable
- Authenticate users, manage licenses, and prevent abuse
- Respond to contact form submissions and support requests
- Send service-related messages, including security, billing, and product notices
- Deliver optional operational alerts based on your configuration
- Analyze reliability and performance of the website and product
- Comply with law, enforce terms, and protect users and the service
5. Legal bases (where applicable)
If you are in a jurisdiction that requires a legal basis for processing (including the EEA/UK), we typically rely on one or more of the following:
- Contract: to provide the WatchTower service you request
- Legitimate interests: to secure, improve, and administer the product and website in ways that do not override your rights
- Consent: where we ask for it (for example certain optional communications or non-essential cookies, when used)
- Legal obligation: when we must retain or disclose information to meet legal requirements
6. Sharing and processors
We may share information with:
- Service providers that host infrastructure, deliver email or notifications, provide customer support tooling, or (when enabled) process payments, under obligations to protect the data
- Professional advisors such as lawyers or accountants when reasonably needed
- Authorities or other parties when required by law, valid legal process, or to protect rights, safety, or the integrity of the service
- Business transfers if we are involved in a merger, acquisition, financing, or asset sale, subject to appropriate protections
We do not sell personal information. We do not share personal information for cross-context behavioral advertising as those terms are commonly defined under U.S. state privacy laws, unless we update this notice and provide required choices before doing so.
7. Retention
We retain information for as long as needed to provide the service, fulfill the purposes described in this notice, meet legal or accounting requirements, resolve disputes, and enforce agreements. Contact-form submissions are kept long enough to handle the request and for reasonable follow-up and abuse prevention. Operational telemetry retention depends on product configuration and plan. When information is no longer needed, we delete or de-identify it where practicable.
8. Security
We use administrative, technical, and organizational measures designed to protect information appropriate to the nature of a monitoring product. No method of transmission or storage is completely secure. You are responsible for protecting access to your devices, VPS hosts, NinjaTrader environment, and WatchTower credentials. Details of local storage, authentication, credential handling, and data transmission for a given release are described in that version's security documentation where published.
9. International transfers
WatchTower may be operated from, and information may be processed in, countries other than the one where you live. Where required, we use appropriate transfer mechanisms or contractual protections for cross-border processing.
10. Your rights and choices
Depending on your location, you may have rights to access, correct, delete, or export personal information; to object to or restrict certain processing; to withdraw consent where processing is consent-based; and to appeal a denied privacy request where local law provides that right.
To make a privacy request, use our contact form and choose the privacy topic. We may need to verify your identity before completing the request. You may also have the right to lodge a complaint with a supervisory authority.
You can typically control browser cookies through your browser settings. You can stop non-essential marketing messages by using unsubscribe options when provided, or by contacting us through the form. Operational and transactional messages related to the service may still be sent when needed.
11. Children's privacy
WatchTower is intended for adults engaged in trading and related professional or personal investment activity. It is not directed to children under 16 (or the equivalent minimum age in your jurisdiction), and we do not knowingly collect personal information from children. If you believe a child has provided information to us, contact us through the form so we can take appropriate steps.
12. Third-party services
The website and product may link to or interoperate with third-party services such as NinjaTrader, brokers, market-data providers, and VPS or hosting vendors. Those parties process information under their own terms and privacy notices. This Privacy Notice does not govern their independent practices.
13. Changes to this notice
We may update this Privacy Notice from time to time. When we do, we will revise the effective date above and post the updated notice on this page. Material changes may also be communicated through the website, product UI, or other reasonable channels. Continued use of the website or service after an update becomes effective means the revised notice applies to the extent permitted by law.
14. Contact
For privacy questions, requests, or concerns, use our contact form. Select the privacy topic so we can route your message appropriately.
